The Film Agency for Wales are seeking a new Administrator /Receptionist

Background:
The Film Agency for Wales is the sole agency for film in Wales, with a remit to ensure that the economic, cultural and educational aspects of film are effectively represented in Wales, the UK and the world. As a strategic agency, we aim to facilitate the emergence of a viable and sustainable Welsh film industry and to promote a vibrant and dynamic film culture.
Established in July 2006, we receive core funding from the Arts Council of Wales, Welsh Assembly Government and the UK Film Council. We support film development, production, exhibition and education, offering advice, funding (lottery and grant in aid) and advocacy.

Main purpose of job:
To work to the PA to the Chief Executive, providing administrative support across the office, as below and as otherwise reasonably required, in order to facilitate the smooth and efficient running of the organisation.
Principal Duties & Responsibilities:
• To be a first point of contact for handling external enquiries, dealing with general enquiries and otherwise directing to relevant staff or associated organisations, and performing reception duties – welcoming clients and making them comfortable whilst they wait;
• Office management duties including stationary requirements, consumables, maintenance of Health & Safety records; dealing with computer, photocopier, ‘phone system and IT queries and service issues (liaising per our outside maintenance contracts);
• Up-dating our website (via Content Management System), e-bulletin and on-line grant management system/database – including updating of news-stories and links; updating our contacts database and disseminating appropriate stories/news items to potentially interested clients;
• Administrative support across the office including photocopying, dating and disbursing post, logging scripts, filing, arranging hotel and travel, collating documentation, checking press and collating clippings, and specific support to the part-time PR consultant or other management as and when outreach events take place, including arranging venues, catering and personnel as appropriate.
• Undertake research tasks of to support the office and the agencies work, as reasonably required. And, keep up-to-date with industry news.
• Undertake any other duties that may reasonably be required within the role.
Person Specification:
Self-motivated, collaborative worker, who demonstrably uses their initiative;
Excellent administrative, organisational, communication and practical skills and an ability to work to deadlines and under pressure – attention to detail and accuracy essential;
Excellent IT and word processing skills (MS Outlook, Office, Word, Excel, Powerpoint);
Familiarity with or interest in the film sector useful;
Fluency in Welsh would be an advantage.
